Pondering Tree Pty Ltd (ACN 163 652 695) · Last updated 18 October 2026
This policy explains how Pondering Tree Pty Ltd ("we") handles personal information through PonderingTree.com, the Build Better card table and our coaching services. We follow the Australian Privacy Principles and the Spam Act 2003.
What we collect
- Account details: your email address, first name if you give it, and a scrambled (hashed) version of your password. We can't see your password.
- Your card table: which cards and playmat you use, where you put them, and any sticky-note text you write.
- Email preferences: whether you opted in to our emails, the exact wording you agreed to, and when.
- Coaching and orders: bookings, purchases and delivery details if you buy a deck or coaching (payments are handled by Stripe; we never see your full card number).
- Technical data: your IP address and browser type when you sign up, sign in or change your email preferences, for security and as a record of consent.
Please don't put sensitive information about yourself or other people (for example health details) on sticky notes. The cards describe fictional people.
Why we collect it
- To run your account and save your card table.
- To provide coaching, including AI voice coaching if you sign up for it.
- To send you emails about Build Better, Blueprints for Leadership, coaching and events, only if you opted in.
- To keep the site secure and meet our legal obligations.
Emails and unsubscribing
We only send marketing emails if you tick the opt-in box. Every email identifies us and has an unsubscribe link, which works straight away. Unsubscribing does not delete your account or your card table. You can also change your preference on your account page.
AI voice coaching
If you use the Build Better voice guide, you'll always be told you're talking to an AI. So the guide can respond, your voice, any photo you send of your table, and a short text description of the cards on your digital card table are sent to Google's Gemini service. Pondering Tree doesn't record or keep voice guide sessions. If you ask for a session summary, the on-screen transcript is sent to Gemini to write it, and the summary and PDF are made for you to keep; we don't store them. If you ask us to email it, it's sent to your account email address through our email provider, Resend. On our current plan, Google may use what's sent during a session to improve its products, and it may be processed outside Australia, including in the United States. Please use first names only and don't share health details or anything you'd want kept private. The voice guide is for people aged 18 and over. It isn't a counsellor or a health professional. If you need urgent help, call 000, or Lifeline on 13 11 14.
Who we share it with
We don't sell your information. We use service providers to run the site: Cloudflare (hosting and database), Stripe (payments), [email service] and Google (Gemini, which runs the AI voice guide). Some of them may store data outside Australia, including in the United States. We only share what they need to provide their service.
Keeping it safe
Your data is stored on Cloudflare's infrastructure, sent only over encrypted connections, and your table is visible only to you once you're signed in.
Seeing, correcting or deleting your information
Email [email protected] to ask for a copy of your information, to correct it, or to delete your account. We'll respond within 30 days.
Complaints
If you're unhappy with how we've handled your information, email us first and we'll try to put it right. If you're still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
